 Purpose of the job

 To provide efficient and effective high quality administrative support to Senior Managers of Alexandra Homes (Bristol) Ltd.

 1.    Use IT Systems to:

·         create, amend and maintain spreadsheets

·         update database systems

·         compose and word process routine correspondence

·         prepare draft documents for approval on complex correspondence

·         format reports and other documents

·         use other applications as required

 

Respond to a range of written, telephone and ‘face to face’ enquiries from within and outside of the organisation. This will involve resolving some queries directly or, in more complex cases, referring on to an appropriate colleague or section.

 

3Undertake general office duties to include; opening and sorting of post; filing; photocopying; maintaining office diary; monitoring/ordering of stationery; cash handling, collection and reconciliation; maintaining a petty cash float, as required.

 

4     Attend a range of meetings, acting as note-taker.

 

5     Ensure secure handling of confidential data and information to comply with Company policy and the Data Protection Act.

Supervision Received

General supervision will be received from the Registered Manager / General Manager.

Purpose of Job: 

 Under the general supervision of the Registered Managers, and within the framework of current legislation from the Care Quality Commission (CQC); Essential standards of quality and safety, to share overall responsibility for the efficient organization and development of resources of the home, ensuring high quality residential care and support for the residents, in line with Alexandra Homes’ policies and procedures.

Principle Accountabilities:

  1. To deputise for the Team Manager in his / her absence.
  1. To promote and maintain a safe, secure and nurturing environment, which holistically meets the needs of vulnerable adults. Providing direct supervision, guidance and support to staff members, to ensure an understanding of and a positive approach to meeting the resident’s needs is adopted and maintained, in accordance with best practice. To ensure that agreed boundaries and incentives to safely manage behavior are regularly reviewed and maintained by staff, in line with Care Quality Commission: Essential standards of quality and safety, all relevant legislation and Company policies and procedures.
  1. As part of the Homes’ Management team, to support and guide staff to realise resident’s agreed care plans, ensuring they remain at the centre of their care at all times. To ensure that residents are aware of and have access to the Organisation’s Complaints Procedure.  To provide necessary support and guidance to staff to ensure Safeguarding procedures are implemented accordingly, that all relevant documentation is appropriately completed and stored and that a high standard of recording is maintained by staff.

 

  1. To monitor, supervise and direct the work of other staff in line with Alexandra Homes’ policies, procedures and guidelines of good practice.
  1. To develop, monitor and maintain good personal relationships with residents and to meet both their physical and emotional needs in accordance with agreed programmes.
  1. To assist with the management of behavioral difficulties, and adults in vulnerable situations, within appropriate boundaries consistent with Alexandra Homes’ guidelines and procedures.
  1. To supervise and be involved in social and recreational activities of residents both inside and outside the home. To assist in the identification and assessment of the resident’s problems and needs.
  1. To contribute as necessary towards preparing, implementing and reviewing planning agreements within the Support Worker system. To attend reviews as required. To assist in supporting residents to maintain regular contact with their parents, relatives and friends.
  1. To assist in the maintenance of the requirements of the Homes Regulations and related legislation, the Health & Safety At Work Act, the Control of Substances Hazardous To Health Regulations (COSHH)  and the Fire Regulations.
  1. To implement, monitor and review all risk assessments in relation to residents, the building, equipment and general care practices.
  1. To safely administer the resident’s medication in accordance with the instructions provided and in line with Alexandra Homes’ Medication Policy and procedure.  
  1. To contribute towards the maintenance of standards of hygiene and cleanliness within the home and the upkeep of fabric, furniture and equipment.
  1. In the absence of the Team Manager, to ensure the effective management of the financial resources of the home, working within agreed guidelines.

Supervision of designated staff attached to the home on a day to day basis.

BACKGROUND 
Alexandra Homes is a Specialist, Residential Care Service for adults (18 to 65) with Asperger Syndrome and Autistic Spectrum Disorders. Many of our residents will have other, related conditions, and may present challenging behaviours.

The Service is registered with The Care Quality Commission (CQC), to provide specialist care for people with ASD, who are referred from local authority learning disability and mental health services.

The service was set up in February 2004 and is firmly established as a leading provider of services for people with ASD in the South West of England. We currently provide a service for 10 different local authorities in England and Wales and Northern Ireland.

There are two registered  homes, Alexandra House in Knowle and Ash View House, in Kingswood. Both homes are in the Bristol Area.

In addition to the main House, Alexandra House has two supported, independent living units on the same site, for preparing residents for move on placements.

We believe that with the right support, understanding and encouragement, people with Asperger Syndrome can reach their maximum potential and enjoy a quality of life, which they deserve as an individual and valued member of the community in which they live.
